Annual Conference - frequently asked questionsI have not got my security passcodes for conference. How do I get it?
In the first instance you should contact you regional officer who will ask you some security questions about you union.
If there is no one available at your regional office you will need to send an email to events@nus.org.uk from you president or a general manager.
How many delegates are we allowed to send to Conference?
Each CM has a delegate entitlement calculated on the number of students declared to our membership/finance department by your students’ union. You can find your union’s delegate entitlement in the document entitled CD3a, which is available here on the website.
How much does it cost to attend annual conference?
Your delegation can attend Conference free of charge, however, the following charges apply for observers and student press representatives:
Observers:
If your delegate entitlement is 1 delegate, the observer fee is £365 (inc. vat)
If your delegate entitlement is 2 or above, each observer fee is £480 (inc. vat)
If you are an FE, all observers are £240 (inc. vat)
Student Press: £475 (inc. vat)
Bed and breakfast accommodation is paid for by NUS.
Do I need to book accommodation?
You accommodation will be booked for you on a bed and breakfast basis. The only thing you will have to pay for is you travel and any other meals.
Our cross campus ballot is taking place after the registration deadline. What should we do?
In order to register your delegation for Conference, send in your registration form before the deadline, filling in whatever information you may have regarding childcare and access needs. Write ‘A N Other’ in place of delegate name(s) on the form. Remember to inform us of the delegate names as soon as possible after your cross campus ballot.
As our cross campus ballot is taking place after the registration deadline, we don’t know whether delegates have access requirements or not. Can we let you know after close of registration?
We are unable to guarantee provision of access requirements after the registration deadline. You can register any access needs you think may be required before close of registration but your institution will be responsible for covering additional costs if the delegate does not get elected and therefore does not attend conference.
We are an FE institution – what do we do about signing the cross-campus ballot section on the registration form?
FE institutions are exempt from carrying out a cross-campus ballot so there is no need to complete this part of the form.
Is any discount available for FE institutions sending Observers to Conference?
FE institutions can send one Observer at a cost price of £240.00, which covers the cost of bed and breakfast accommodation and a small charge towards documentation. Additional Observers will also be charged £240.00.
Alternatively, FE institutions may send a guardian to accompany their delegate. NUS will pay for their bed and breakfast accommodation but guardians will not be allowed into Conference.
Access needs
What should I do if I need to bring an enabler along to conference or I have childcare?
If you require the assistance of an enabler at conference you should let the event team know when you register you delegation. You can do this by highlighting the requirement on the registration form and a member of the events teams will contact the delegate immediately to discuss what options are available to you. If the team has not contacted you at least 10 days prior to the start of conference then please give us a call.
Under 18
In order to register at NUS events, delegates under the age of 18 must
return the completed attached consent form to the events team prior to your
arrival. Delegates will NOT be able to attend this event without prior consent
from parental/guardian or Students Union Trustee.
